Packaging budget for 2027: how to estimate tape, bags and wrap per order

Most small sellers know their product cost to the last rupee. Ask them what packaging costs per order and they guess. Then the guess is wrong, usually on the low side.

I understand why. Packaging feels like a small everyday expense, until you add up twelve months of tape, bags, wrap and filler and realise it is one of the biggest regular costs after the product and the courier.

The fix is not hard. Here is the short answer: measure how much of each material one order uses, multiply by your monthly orders, add 10 to 15% for waste and mistakes, and plan festive months separately. Then open each product page, note today's price, and multiply.

I have not put any prices in this article on purpose. Prices change, and a budget built on an old price is wrong from day one. Every price on PackSmith includes 18% GST, and delivery is free across India, so the price on the listing is the number you budget with.

Why plan packaging per order, not per month?

Because orders change and the per-order figure does not. I consider it the most reliable number in your whole packaging calculation.

If you know one order uses 0.9 m of tape, 1 courier bag and 1 label, you can plan for 300 orders or 3,000. A monthly figure like "we use about 10 rolls" breaks the moment you grow, or the moment Diwali comes.

How do I measure what one order uses?

Pack five of your most common orders slowly and write everything down. Do it with the people who actually pack, not from memory.

  1. Tape: measure the strips you use on one box with a measuring tape.
  2. Bags and mailers: count one per order, plus the ones that get spoilt.
  3. Wrap: measure the length of honeycomb paper or bubble wrap per item.
  4. Void fill: count the sheets you crumple into one box.
  5. Labels and envelopes: one each per order, if you use them.

Take the average of the five. That is your per-order figure.

It takes an hour. It is worth it.

How much tape does one carton use?

It depends on the box and the method. Take a common 30 x 20 x 15 cm carton. One strip along the top seam, running about 7 cm down each end, is roughly 44 cm. Do the same at the bottom, and you use about 0.9 m per box.

So one 65 m roll of brown packing tape seals about 70 such boxes.

If you use the H method, with extra strips across the edges, the same box needs about 2.2 m. Now one 65 m roll seals only about 29 boxes. That is about two and a half times the tape, so decide your method first. Our guide on how to tape a shipping carton explains which boxes need the H method.

Worked example 1: a clothing seller with 300 orders a month

This seller ships kurtis in courier bags, with one shipping label per order.

Item Per order Per month (300 orders) With 10% spare
Courier bag, 10 x 14 inch 1 300 330
Shipping label 1 300 330
Tape none (the bag is self-seal) 0 0

So this seller budgets for 330 bags and 330 labels a month. Our courier bag size chart helps pick the right size. A size too big costs you on every order.

So get this right before you buy in bulk.

Worked example 2: a home decor seller with 150 orders a month

This seller ships glass candle jars in a 30 x 20 x 15 cm carton, two jars per order on average.

Item Per order Per month (150 orders) With 15% spare
Brown tape, simple method 0.9 m 135 m about 155 m
Honeycomb paper, about 50 cm per jar 1 m 150 m about 173 m
Void fill sheets, 380 x 250 mm 10 1,500 about 1,725
Carton 1 150 173

Now turn the metres into packs:

  1. Tape: 155 m is about 2.4 rolls of 65 m. A set of 6 lasts about two and a half months.
  2. Honeycomb paper: 173 m is just under two 100 m rolls a month. A 250 m roll would last about six weeks.
  3. Void fill: 1,725 sheets is about three and a half packs of 500. Our void fill guide shows how to check your own sheets per box.

The 50 cm per jar and 10 sheets per box are only my starting figures. Measure your own, because a tall jar and a small jar are not the same.

Worked example 3: a cloud kitchen with 1,200 orders a month

This kitchen seals each delivery bag with one strip of veg or non-veg marking tape, about 20 cm long.

Item Per order Per month (1,200 orders) With 10% spare
Marking tape, 1 inch x 35 m 0.2 m 240 m 264 m

One 35 m roll gives about 175 strips of 20 cm. So the kitchen needs about 7 to 8 rolls a month, and a mixed pack of 12 veg and non-veg rolls lasts about six weeks. If your mix is mostly veg, buy the veg tape separately instead of a mixed pack.

How do I plan for festival months in 2027?

Do not use one monthly figure for the whole year. Split the year into normal months and peak months.

For most gifting and home sellers, the big peak in 2027 runs from Navratri on 30 September to Bhai Dooj on 31 October, with Diwali on 29 October. For wedding and trousseau sellers, May and June have the most wedding dates in 2027, followed by February and November. Every date is in our festival packaging calendar 2027.

We dispatch orders in 1 to 2 working days, so in normal months you do not need to keep a huge stock. A few weeks of packaging is usually enough. Festive months are different, because everybody orders at once.

A simple method:

  1. Look at last year's orders in your peak month and in a normal month.
  2. Work out the ratio. If October had 2.5 times a normal month, use 2.5.
  3. Multiply your per-order figures by that month's expected orders.
  4. Buy peak packaging four to six weeks early, because courier networks slow down for everyone in festival weeks.

Remember that packaging inventory is working capital. Ordering the entire year's requirement in January is not automatically the economical decision, especially if storage space is limited or humid.

How do I turn units into rupees?

Now, and only now, open the product pages.

  1. Note the price of the pack you plan to buy.
  2. Divide by the units in the pack (metres, rolls, sheets or bags). We show the pack size on every listing, so this part is easy.
  3. Multiply by your per-order figure.

That gives you packaging cost per order. Write it on the wall above your packing table. If it is more than you expected, the first place to look is the box size, not the tape. When you ask us for help with a budget, the first thing we will ask is your box size. A smaller box needs less tape, less fill and often costs less to ship.

Our free packaging calculators can help with honeycomb paper and courier bag sizes.

What mistakes break a packaging budget?

In my experience, these four:

  1. Counting tape per box from memory instead of measuring it.
  2. Forgetting spoilage: torn bags, wrong labels, wrinkled tape.
  3. Buying the cheapest roll with fewer metres on it, so the cost per metre is higher.
  4. Planning festive months with the normal-month figure.

We make tape and paper packaging in our own plant in Jaipur, and we have done it since 1997. Even so, I cannot give you one tape figure that fits every seller. The way your team tapes a box changes the number more than the tape itself does. That is why I keep asking you to measure.

If you send us your box sizes and monthly orders through our contact page, we will help you work out your per-order figures. You can then check them against today's prices on the listings.
