Packing list envelopes: why invoices go missing and how to stop it

A missing invoice looks like a small thing on the day you ship. It becomes a big thing three weeks later, when the customer wants a warranty repair, a return or a GST input credit, and has nothing to show.

The fix is cheap.

Put the invoice in a self-adhesive packing list envelope that matches the way you fold it, and stick that envelope flat on a clean face of the carton, away from the edges and the tape. Once the invoice is in a pouch, almost every way it gets lost comes back to one of those three: the size, the surface or the spot.

We have made document wallets for export buyers in the UK and Australia for years, and we have answered our share of complaints about them too. The problems are the same for a parcel going to Pune as for a pallet going abroad.

Why do invoices go missing in transit?

The reasons are mostly plain ones. None of them needs a new technology to fix.

  1. The invoice goes in loose. Tucked under the flap or dropped inside the box, it leaves with the packing paper and goes into the dustbin.
  2. The pouch is stuck on a dusty or damp carton. The adhesive grips the dust, not the board, and it peels off at the first rub.
  3. The pouch sits on an edge or a corner. Parcels get dragged and stacked, and anything hanging over an edge gets scraped off.
  4. The pouch is the wrong size. Cram a thick fold into a small pouch and the flap will not close. Use a pouch far too big and the loose end catches and tears.
  5. The pouch sits over the tape seam. The customer runs a knife along the seam and cuts the invoice in half.

This is why I say the envelope is only half the job.

The other half is where your packer puts it.

A4, A5, A6 or A7: which envelope size do I need?

Each size name refers to the paper size it is meant for. The paper sizes come from the international standard ISO 216: A4 is 210 x 297 mm, A5 is 148 x 210 mm, A6 is 105 x 148 mm and A7 is 74 x 105 mm.

Here is a trick worth knowing.

Each size is exactly half of the one before it. So an A4 invoice folded once is A5 size, and folded twice it is A6 size. You do not need an A4 pouch just because your printer uses A4 paper.

The per-envelope figures are simple division and rounded, so treat them as approximate. Packs of 150, 200, 500 and 1000 are also on the packing list envelope listing. Please check the per-piece price before you jump to a bigger pack, as it does not fall evenly with pack size on every variant. Also check the listing for the exact pocket size before a large order.

My own view is that most D2C sellers with a one-page invoice should start with A6. It costs about half as much per piece as A5, and a sheet folded twice is still easy to read. Keep A4 for B2B parcels where the buyer's accounts team wants a flat, clean invoice.

What are the 9.5 x 4.5 inch delivery note bags for?

These are transparent, printed, self-adhesive document sleeves. The listing describes them as waterproof. We sell them in packs of 500 for Rs 1,310 and 1000 for Rs 2,255, which works out to roughly Rs 2.6 and Rs 2.3 per sleeve.

The shape suits an A4 invoice folded in three, the way you fold a letter. A4 folded in three measures about 210 x 99 mm, i.e. roughly 8.3 x 3.9 inches. That should slide into a 9.5 x 4.5 inch sleeve with room to spare, but test one with your own invoice first.

We like the clear sleeve for one reason. The courier and the customer can see a document is inside without opening anything. This helps when a parcel goes to a warehouse where someone checks the paperwork against the goods.

Plain or printed: does it matter?

For most small sellers, plain does the job. Our packing list envelopes come plain or printed in all four sizes, at the same or nearly the same price, so the choice is about use, not cost. We would start you on plain.

Printed pouches earn their cost when the parcel passes through many hands. A pouch with words printed on its face is harder to mistake for rubbish. See the photos on the delivery note bag listing for what the print looks like.

Where should I stick the packing list envelope?

This part decides whether the invoice arrives, so I am giving it the most detail.

  1. Choose the largest flat face of the carton, normally the top, next to the shipping label but not under it.
  2. Stay at least a thumb's width away from every edge and every corner.
  3. Never stick it across the tape seam. The customer's knife goes there first.
  4. Wipe the spot with a dry cloth if the carton has been sitting on a dusty floor. In the monsoon, let damp cartons dry before you pack them.
  5. Peel the liner, place the pouch, then press from the centre outwards and run your thumb along all four edges.
  6. Put the invoice in before you stick the pouch down, not after. Filling a pouch that is already stuck means pulling at it, and that can lift the corners.

I will admit one honest limit.

No adhesive grips well on a very soft, flaky or dusty recycled carton. If the board itself comes off on your finger, the pouch will come off with it. In that case, put a second copy of the invoice inside the box as well.

Common questions

Are the packing list envelopes waterproof? On our listing we describe the envelopes as keeping documents safe from dirt and moisture in transit. We sell the 9.5 x 4.5 inch delivery note bags as waterproof. Neither will save an invoice if the pouch itself has peeled off, so the sticking steps above matter more.

Should I keep a copy inside the parcel too? For B2B orders and anything high-value, yes. It costs one sheet of paper. For a Rs 300 D2C order, one copy in a well-stuck pouch is enough.

If I were starting a small brand today, I would buy one pack of 100 in the size my invoice folds to, and watch the next 50 parcels. If no customer asks you for a copy of the invoice, your size and your spot are right.
